General Requirements


Art Requirements:  Vector art is preferred if you have it available. All text should be converted to outlines, and saved in AI, EPS or PDF format.  If you do not have vector art, please send a high resolution PDF or EPS file. Art that does not meet our requirements will be billed at a flat rate of $45.00 (V). We will contact your company prior to proceeding with any work. Simple type setting is provided at no charge. Our preferred programs are Adobe Illustrator, Adobe Photoshop and In Design.  Art should be sent to


Gift Boxes and Ribbon:  Halftones, screens and shadowing cannot be used for hot stamping. Please indicate if your art is being sent “to size”.  We can adjust size at no extra charge, if provided with the required dimensions. We will use our best judgement if asked to size according to the maximum imprint area. Additional ribbon and imprint colors are available upon request. If not in the catalog, please call for details. Type, characters or lines within 1/16” on finished art will fill in when hot-stamped.


Labels & Hang Tags: All labels and hang tags are printed in 4 color process. Please note that spot colors will be converted and printed in process format. The label background color is white. Please be sure to include a background color with your art if you do not want white to show behind your art. We have templates for all labels and hang tags, and we will email them at no charge. You may place art in all sections of the templates at no additional charge.


Chocolate Options: Unless otherwise specified, we will use milk chocolate for all orders. Dark chocolate and white chocolate are available at no extra charge. There will be a longer production time for dark chocolate and white chocolate because of equipment changeover. We will quote the additional time when the order is place.


Shelf Life:  Solid chocolate has a shelf life of one year if stored in the proper conditions. All other items that are not solid chocolate have a shelf life of six months, if sealed in the original packaging.


Optimal storage conditions are 68° and 50% humidity. This is a typical air conditioned office’s temperature and humidity.


Chocolate will start to melt at temperatures above 78°.


DO NOT store chocolate in a refrigerator or freezer. This will cause the surface of the chocolate to turn white. This is referred to as “bloom” in the industry.  


Virtual Samples: We have product images for all items that can be created for your customer. This is a great way to provide your customer with a custom image, without the expense of a spec sample.  Please allow 3 days during the months of September – December. A charge of $15.00 (V) for each item requested.


Spec Samples:  All spec samples will be billed at the cost of EQP+$30.00 (V). Setup charges do apply; however, they will be credited if an order is received.


Less than Minimum:  Imprinted orders will incur a charge of $35.00(V); unimprinted items will be charged $18.50 (V). The absolute minimum is half of the lowest catalog quantity or 25 pieces, whichever is greater. We do not accept less than minimum order between November 15th and December 31st.


Sample Policy:  Our policy is to provide random samples at no charge, up to an EQP value of $10.00 net. If your sample order exceeds $10.00, please provide a credit card on which to pay the remaining balance.  For all samples, we ask that you provide a shipping account number from either UPS or FedEx, to which we may bill all freight charges.


Rush Service:  Rush services are handled on an individual basis. We will do everything we can to accommodate all requests, depending on our production load. Rush charges will only apply if we experience additional costs to service the request. All charges will be quoted once the order is confirmed.


Production Time:  Our standard production time is 7-10 days from approval of proof. All materials, including purchase order, artwork and shipping information must be received before we can enter the order into our production plan. Please understand that this is generally a worst-case scenario.  If you require a certain ship date, please call for information.



Shipping: All orders are shipped F.O.B. our factory, GA via ground, unless otherwise requested. We do not ship to PO boxes via the USPS. All orders are shipped UPS or FedEx, at the discretion of the factory. Orders that request the shipping charges be prepaid will be billed at the gross charges and added to the invoice. We offer Ground, 3- Day Select, 2nd Day, Standard Overnight, and Priority Overnight delivery. We also have refrigerated and dry trucking available for large orders. Dock high receiving capacity is required for all trucking deliveries, unless otherwise specified. Please indicate the “in hands date” on the order, so we can determine the best date for shipment. We try not to let product sit in transit over the weekend during delivery period. Please check all addresses and zip codes for errors. There will be a charge of $5.00 (V) to correct any zip codes on shipments. Factory is not responsible for delays in shipments because of incorrect information. All returns will be donated to the food bank. Credits are not issued for returns resulting from incorrect shipping information.


Warm Weather Shipping:  We are able to ship chocolate year-round with the use of insulated containers. Insulated containers are necessary any time the temperature will be above 75°. The cost for containers is $12.50 (V) each. We will determine how many containers will be needed for each order, and, if requested, we will estimate this number at the time the order is placed. Ground shipping is available with insulated coolers if the shipping location is within a 2-to 3-day shipping zone from Georgia. If shipping distance is outside of this zone, air freight will be necessary to ensure that melting does not occur.


Split Shipments: Split shipments are designated as splitting a single order amongst multiple addresses. An example would be to split an order of 500 pieces among 5 separate shipping destinations. Split shipments are billed at a charge of $12.50 (V) per location, plus actual shipping costs.


Drop Shipments: Drop shipments are designated as shipping individual items to multiple locations. An example would be to ship a 500 – piece order to 500 different addresses. Drop shipments are billed at a charge of $4.00 (V) per address. This charge includes the cost of the mailer and insertion of card. Please check all addresses for errors. There will be a charge of $13.00 per address for any address corrections that are made after the product has shipped.

Gift Cards: We will insert greeting cards at no charge, provided all cards are the same and are supplied with the order. If cards must be matched to recipient names or addresses, the charge is $2.50 (V) per individual. If the provided cards must be placed in their envelopes at the factory, there will be an additional $0.75(V) charge per card.

Same Message on Each Card:  The charge will be $2.95 (V) per card. Each card is printed with your message and inserted in an envelope. The card & envelope measure 4 ¼ x 5 ½ inches.

Mailers: Individual mailing boxes are available for all gift items in the catalog at a per-box charge of $1.25 (V). We can ship the boxes in bulk, along with your order. Please note that shipping items in mailers will result in higher shipping charges because of the bulkiness of the packages.


Overruns / Underruns: Factory has the right to bill and ship overruns or underruns within 5% of order quantity. Please specify if any orders cannot be shipped short of the quantity ordered. This can result in a slightly larger overrun that will not exceed 10%. All overruns will be billed and shipped at catalog prices.


Cancellation Policy: Cancellations will be billed at a charge of $30.00 (V) plus all costs to factory has incurred to date.


Terms: Net 30 days for all customers with open accounts. New customers may be asked to prepay or provide a credit card at the time of shipment. All credit card charges will be billed at the time the order is shipped. We accept Visa and MasterCard at no additional charge. We will accept American Express for an additional charge of 2%. 

COD Shipments are not available.


Trademark Usage: All copy or other materials submitted by the customer will be accepted as being submitted in full compliance with all applicable laws regarding trademark, copyright, service mar, right to privacy, patent, or other protections. Copy and trademarks illustrated in the catalog are used to demonstrate product imprinting, and are not actual purchases by the organizations shown.
